GUIDING STAR ASTROLOGY - RETREAT BOOKING TERMS AND CANCELLATION POLICY

1. Definitions

• “Retreat” refers to any retreat, event, or program booked through Guiding Star Astrology.

• “Cancellation” means not attending your retreat booking, including postponing or rescheduling.

• “You” or “Client” refers to the guest booking a retreat with Guiding Star Astrology.

• “We,” “us,” or “Guiding Star Astrology” refers to the retreat operator.

2. Bookings and Payment

A deposit of $100 USD is required to secure your place on a retreat. This deposit is non-refundable except where set out under “Our Cancellation Rights” below. The remaining balance is due in full no later than 6 WEEKS before the retreat start date.

Places are limited and allocated on a first-in, first-served basis upon receipt of deposit.

It is your responsibility to check your booking confirmation and ensure all details are correct. Please notify us of any errors within 7 days of booking.

If full payment is not received by the due date, we reserve the right to release your place to another guest and treat your deposit as forfeited under our standard cancellation schedule.

3. What's Included

Your retreat price includes accommodation, meals if specified in your retreat itinerary, and all listed retreat activities (astrology and mythology sessions, sound baths, yoga, shamanic dance, guided nature walks, and stargazing sessions).

Your retreat price does not include travel to and from the venue, travel insurance, personal expenses, or any activities not listed in your itinerary. Arranging your own transport and travel insurance is your responsibility.

4. Travel and Cancellation Insurance

You must hold travel insurance to attend the retreat, including cover for trip cancellation and any physical/adventure activities included in the retreat itinerary. Please check your policy covers all planned activities. Many insurers require the policy to be purchased within 14 days of booking — check with your provider.

Guiding Star Astrology is not responsible for booking or arranging your travel, including flights, and accepts no liability for delays, cancellations, or disruptions to your travel arrangements.

5. Guest Cancellation Policy

If you cancel your booking, refunds are not offered. Instead, a portion of your payment may be applied as credit toward a future Guiding Star Astrology retreat, valid for three years from your original retreat date. Credit may be transferred to another guest at your request.

Cancellation fees apply according to the schedule below:

• More than 90 days before the retreat start date: 100% of your payment may be applied as credit to a future retreat, minus the non-refundable $100 deposit.

• 60–89 days before the retreat start date: 75% of your payment may be applied as credit. You forfeit 25% of the retreat price plus the $100 deposit.

• 15–59 days before the retreat start date: 40% of your payment may be applied as credit. You forfeit 60% of the retreat price plus the $100 deposit.

• 14 days or fewer before the retreat start date: your entire payment is forfeited.

No exceptions can be made to this schedule for any reason, including late arrival or early departure from the retreat.

Expression of interest: your $100 deposit secures your place. If Guiding Star Astrology cancels a retreat due to insufficient interest, your deposit will be refunded as credit, or as a refund less any credit card processing fee if originally paid by credit card.

6. Our Cancellation Rights

If Guiding Star Astrology must cancel a booked retreat for any reason other than a government directive, you may transfer your full payment to another retreat date, or request a refund, which constitutes full settlement of the booking.

Guiding Star Astrology is not responsible for expenses you incur in preparing for a cancelled retreat, including flights, lost income, or other associated costs.

We reserve the right to alter retreat accommodation, activities, or facilitators where reasonably necessary.

If you choose to downgrade your accommodation after payment, no refund of the difference will be given. If you choose to upgrade, the new price will apply.

7. Health, Fitness, and Liability

You must disclose to us, prior to attending, any medical condition, injury, or disability that may affect your ability to safely participate in retreat activities (including physical activities such as nature hikes, yoga, or shamanic dancing).

You must comply with all health and safety guidance provided by Guiding Star Astrology during the retreat, and are responsible for ensuring you are medically and physically fit to participate. If you experience pain, illness, or discomfort during an activity, you must stop and inform the facilitator.

Guiding Star Astrology accepts no liability for injury, illness, loss, or damage arising from your participation in retreat activities or your travel to and from the retreat. We recommend comprehensive travel, medical, and cancellation insurance for the full duration of your trip.

7.1 Personal Belongings and Valuables

Guiding Star Astrology is not responsible for loss or damage to personal belongings or valuables during the retreat.

7.2 Third-party and other guest acts

Guiding Star Astrology is not liable for the acts or omissions of any third party, including but not limited to other guests, individuals present at the venue who are not part of the retreat, venue staff, or members of the public, including any criminal, negligent, or harmful conduct by such persons.

7.3 Assumption of risk for shared/public venues

Some retreat venues may be shared with other guests, visitors, or members of the public not affiliated with your retreat. By attending the retreat, you acknowledge and accept the inherent risks of attending an event at a venue that is not under Guiding Star Astrology's exclusive control.

7.4 No duty to supervise / not a guarantee of safety

While we are committed to responding appropriately to any incident and supporting affected guests, Guiding Star Astrology does not guarantee the safety or conduct of any individual and undertakes no duty to supervise interactions between guests or between guests and third parties.

8. Code of Conduct

We ask all guests to engage respectfully with fellow attendees, facilitators, and venue staff. Guiding Star Astrology reserves the right to remove a guest from a retreat, without refund, if their conduct is disruptive, unsafe, or disrespectful to others.

Guests who book and attend a retreat are required to abide by the rules and regulations of the retreat venue. These are made available on the website of the retreat venue. Failure to comply with venue rules can also result in removal from the retreat without refund. Guiding Star Astrology, Undying Stars, Kesenya Moore, and David Warner Mathisen accept no liability or responsibility for any breach of venue rules and regulations by a guest.

9. Photography, Video, and Content

Retreats may be photographed or filmed for use in Guiding Star Astrology's marketing, social media, and content (including YouTube). By attending, you consent to appearing in this content unless you notify us in writing before the retreat that you do not wish to be filmed or photographed, in which case we will make reasonable efforts to accommodate this.

10. Privacy

Personal information you provide when booking (including dietary requirements, medical or accessibility information, and emergency contact details) is collected solely to plan and safely run your retreat, and will not be shared with third parties except as required to deliver the retreat (e.g. with the venue or catering provider) or where required by law.

11. Force Majeure

Guiding Star Astrology is not liable for any failure to perform caused by circumstances beyond its reasonable control, including natural disasters, war, acts of God, airport closures, civil unrest, national or international pandemics, or the failure of third-party suppliers or subcontractors.

12. Eligibility

Retreats are open to guests aged 18 and over, unless otherwise stated for a specific retreat.

Guiding Star Astrology welcomes guests of all abilities. Given the remote nature of some retreat venues and the physical activities involved (including nature walks, shamanic dance and yoga), we ask guests to contact us before booking to discuss any accessibility needs, so we can advise whether reasonable accommodations can be made for your specific retreat. Our aim is to make retreats as accessible as possible within the physical constraints of each venue.

13. Governing Law

These Terms and Conditions are governed by the laws of State/Country of the retreat location, and any disputes will be subject to the exclusive jurisdiction of the courts of that jurisdiction.

14. Agreement

These Terms and Conditions supersede any other policy published on the Guiding Star Astrology website at the time of booking. By selecting “I have read and agree to the terms above,” you confirm that you have read, understood, and agree to be bound by this policy in full.
